Training Center Assistant – Georgia (3 positions)
Location: GPC Klondike Training Center, Stonecrest, Georgia
JOB SUMMARY
This position provides administrative support to the training functions within Power Delivery Training. In addition, this position serves to accommodate all training classes and events scheduled by Power Delivery Training or approved customer requests.
This position appropriately communicates and interfaces with employees and guests attending classes/events, their management, vendors, and Power Delivery Training staff.
This is a high-volume, high energy and fast paced environment.
JOB QUALIFICATIONS
High school diploma required
Must have a minimum of 3 -5 years of experience working in one of the following areas: administrative assistant, customer service (phone/in person), human resources, or related field
Knowledge of accounting procedures
Knowledge of Enterprise Foundations (Maximo, Oracle, PaySOurce)
Knowledge of computer applications, i.e. Word, PPT, Outlook, Excel
Excellent organizing and prioritizing skills
Ability to meet deadlines, while experiencing interruptions
Excellent listening and oral communication skills

JOB DUTIES & RESPONSIBILITIES
Serve as initial contact for training center by answering training center telephones and responding to gate calls from employees and guests attempting to enter facilities.
Maintain Power Delivery Training filing system for accurate record retention of student files according to company records retention policy.
Coordinate arrangements for training classes: student reservations, class logistics communications, room set-up, equipment, meals, refreshments, etc.
Negotiate rates and contracts with hotels and manages those vendor relationships.
Negotiate rates and supervises food caterers to ensure the quality and timely delivery of meals, accurate daily meal counts, and arrangements for classes and meetings, while also managing those vendor relationships.
Monitor and orders office supplies/materials needed for Power Delivery training.
Create PRs, process POs, and reconcile invoices using Enterprise Solutions (Maximo, Oracle).
Process invoices and iExpense charges associated with vendors agreements, utilities, and employee expenses.
Serve as primary contact for timekeeping including verifying time entries for accuracy and locking time for training staff.
Post compliance posters, Labor Relations Weekly Job Postings, and other required communications for the training center as requested.
Perform various tasks to ensure that employee training records are kept according to Records Management compliance.
Serve as Test Proctor for computer-based assessments, as needed.
Work with peers to ensure customers’ needs are met.
Support Managers, Supervisors and other training center staff as needed with logistic and administrative needs.
